A small dojo often starts with a spreadsheet for members, a paper attendance sheet, a folder of signed waivers and a notebook of who paid this month. It works until the school grows: a second instructor, a kids program, a few families with three children each, belt tests every season. Then the pieces stop talking to each other, and the head instructor spends evenings reconciling them.
ClubTide puts those pieces into one system that fits how martial arts schools work. Student records are linked to families and guardians. Classes come from a weekly schedule. Students, families and guardians
Each student has a profile with contact details, status, groups, rank, attendance and billing. Children are linked to a family with one or more guardians who handle payments and emergencies, each with their own language and notification preferences. Add custom fields for anything else you track, such as uniform size or school.
Statuses (trial, active, paused, inactive and archived) keep your roster honest. Archiving keeps a student's history without counting them as active, and medical notes are visible only to staff who are allowed to see them.

Several styles and rank systems in one dojo
Create a rank system for each style or age group you teach. Start from templates for karate, judo, taekwondo, Brazilian jiu-jitsu (adults and kids) or Qwan Ki Do, or build any other system from scratch with your own belt names, colors and stripes.
Each rank can require a minimum number of classes, months at rank, a minimum age, curriculum skills and coach approval. ClubTide shows who is ready, and an instructor confirms every promotion. The rank history cannot be edited afterwards.

Class schedule and attendance on the mat
Set up programs, groups and locations, then a weekly schedule. Sessions appear on the calendar automatically, and moving or cancelling one notifies the families involved.
Instructors open the Today screen on their phone and mark each student as present, late, excused, absent or trial. They only see the groups they teach. Attendance history, rates and reports fill in by themselves.

Belt tests without the paperwork
Create a belt test with date, location, capacity, deadline and an optional fee. Invite candidates by email, let parents register from the portal and have the fee invoiced automatically. Record results as passed, failed or absent, then promote the students who passed in one bulk action.

Tuition, family plans and online payments
Create membership plans with weekly, monthly, quarterly, annual or one-time billing, optional setup fees and plan trial days. Assign a plan to a student, add a family or scholarship discount if needed, and ClubTide issues invoices every period. Pause a membership during an injury or a summer break.
Parents pay by card into your dojo's own Stripe account and can save a card for optional autopay. Cash, check and bank transfers are recorded with receipts. Past-due accounts are flagged after your grace period, and nobody is locked out of class.

Share a registration link on your website or social pages. New families fill in their details and accept your waiver and privacy consent online. Which martial arts styles does ClubTide support?
Any style with ranks. There are templates for karate, judo, taekwondo, Brazilian jiu-jitsu (adults and kids) and Qwan Ki Do, and you can build a rank system for aikido, kung fu, kickboxing or any other style from scratch.
Can one dojo teach several styles?
Yes. Add a program and a rank system for each style or age group. Students can belong to several groups and hold ranks in more than one system.
Can I import my current student list?
Yes. Upload a CSV file, match the columns, check the preview and import. Duplicates are skipped automatically.
Do students get locked out when a payment is late?
No. Unpaid invoices are marked past due after your grace period so you can follow up, but attendance and everything else keep working.
Is there a contract or setup fee?
